How to Use Recruiting

Track drivers from first contact to hire on the Leads board

The Recruiting module helps you track drivers from first contact to hire. Turn it on in Settings > Other Settings, under Models. It then appears in the left menu with two pages: Leads and Jobs.

The Leads board

Go to Recruiting > Leads. Each lead is a card, and each column is a stage in your hiring process: New Lead, Contacted, Follow Up, Applied, Under Review, Screening, Onboarding, Lead Closed, Rejected, Hired, and Terminated.

The number at the top of each column shows how many leads are in that stage. Each card shows the lead's name, the job, the date added, the recruiter, and how long ago the lead was last updated.

  • Click Table in the top-right corner to switch to a list view.
  • Use Filters and Columns to narrow down and customize what you see.

Can't find a lead? Leads aren't deleted when their status changes. Check that a Filter isn't hiding it, or switch to Table view and search by name.

Add a lead

Leads are created automatically when a driver applies through a job's application link. You can also add one yourself:

  1. Click + Add Lead in the top-right corner.
  2. Set the Date (defaults to today) and choose the Recruiter responsible for the lead.
  3. Enter the First Name, Last Name, Phone, and Email.
  4. Choose a Status (the starting stage) and the Job, if applicable.
  5. Click Save. The new lead appears in its stage column on the board.

Lead details

Click a lead's name to open it. Changes are saved automatically.

  • General – date, recruiter, name, phone, email, and job.
  • Documents – upload and manage documents for the lead.
  • Notes – add internal notes to track communication.

Use the Status dropdown in the top-right corner to move the lead to a new stage. The ⋯ menu next to it has:

  • Send App – send the lead the driver application for their job. See Post Jobs and Collect Applications.
  • Hire Applicant – create a driver from the lead, with all of the lead's documents.
  • Delete – remove the lead.

Progress tracking

The Progress section shows each hiring step and whether it's completed, pending, or needs attention: Application, License, Medical Card, MVR, PSP, Clearinghouse, Drug Test, Past Employment, and Onboarding.

Hiring a lead

Open the lead and choose ⋯ > Hire Applicant. DPB creates a new driver from the lead and copies all of the lead's documents to that driver's profile at that time.

Using Samsara or another ELD integration? If you also add the driver in your ELD, the next sync adds them to DPB again. If the usernames don't match, you'll end up with a duplicate driver. To avoid this, either:

  • use the same username in DPB and in your ELD, or
  • ask support@digitalpermitbook.com to turn off driver sync from your ELD, so drivers are only added in DPB.

Jobs: To create the positions leads apply for and share the application link, see Post Jobs and Collect Applications. To get an email when someone applies, turn on Job Application in Settings > Notifications.
