Turn on DVIRs
- Go to Settings > Other Settings and turn on Maintenance under Models.
- Go to Settings > Driver App and turn on DVIR so drivers can complete inspections in the app.
To send drivers a daily DVIR reminder, turn on DVIR under Workflow in Settings > Other Settings.
Create a DVIR template
- Go to Maintenance > DVIR and open the Templates tab. Existing templates are listed with who they're assigned to and their status. Use the Status toggle to turn a template on or off, and the pencil, copy, or trash icon to edit, duplicate, or delete it.
- Click + Add Template in the top-right corner.
Choose one of four starting points. All matching items are pre-loaded, and you can customize them afterward.
- Vehicle inspection: a full pre-trip truck inspection covering the engine, exterior, undercarriage, and driver cabin.
- Trailer inspection: coupling, lights, tires, and cargo area.
- All items: every vehicle and trailer item combined.
- Custom inspection: starts empty so you can add your own items.
Inspection items. Each row is one check the driver will do.

Edit the item name in the left field, and the description in the middle field. The description explains what a passing result looks like.

Choose the answer type from the dropdown:
- Pass / Fail – the driver marks the item Pass or Fail.
- Pass / Fail + Photo – same as above, and the driver must add a photo if the item fails.
- Photo – the driver takes a photo of the item.
- Note – the driver types a note.

Drag the dotted handle to reorder items, or click the red trash icon to remove one.
Signature requirements.
- Driver signature: required before the driver can submit.
- Mechanic signature: required when a defect is resolved.
Assigned to. Choose which units see this template: All units, All vehicles, All trailers, Specific tags, or Specific units.
Save the template when you're done.
Completing an inspection
Drivers complete inspections in the driver app. Admins can use the same steps from + Add DVIR on the DVIRs tab.
- Select the Unit # and a Template. Only templates assigned to that unit appear.
- Go through each item in order. Your progress shows in the top-right corner (for example, "0 of 2 completed").
- Answer each item: mark it Pass or Fail, or add the photo or note it asks for. If the item is set to Pass / Fail + Photo, the driver must add a photo when it fails.
- Under Inspection Details, enter the Odometer reading and Location.
- Under Status, choose the overall result: Safe or Unsafe.
- Sign in the Driver Signature box if the template requires it, then submit.
If the driver leaves before finishing, the inspection is saved as a draft so they can pick it up later.
How the DVIR status works
The final status is chosen by the driver, not calculated from the items. A driver can fail one or more items and still set the overall status to Safe if the truck is fine to drive, for example a small defect that doesn't affect safety. If the vehicle shouldn't be driven, the driver sets the status to Unsafe.
On the DVIRs tab, each report shows one of these statuses:
- SAFE (green) – the driver marked the vehicle safe.
- UNSAFE (red) – the driver marked the vehicle unsafe.
- RESOLVED (yellow) – the defects on the report have been fixed.
Review submitted DVIRs
The DVIRs tab lists every submitted inspection.
- Search, pick a date range, or use Filters to find specific reports.
- Each row shows the unit #, unit type, template, who created it, and the date and time.
- Defects is the number of failed items, and Fixed is how many of those have been resolved.
- Click the blue unit # to open the report. There you can resolve defects and download a PDF.
Check inspection rates
The Report tab shows, day by day, whether each unit was inspected with each assigned template.
- Search by unit #, set the date range with the calendar field, use Filters to narrow the list, and Export to download it.
- Each row shows the unit #, type, driver, and template.
- In each date column, a filled blue square means an inspection was completed that day. An empty square means it wasn't.
- The % column is the unit's inspection rate for the period. For example, one inspection over 7 days shows 14%.
- Click the blue bell icon to send the driver a reminder to complete their DVIR.
Get notified about unsafe DVIRs
Each user chooses their own DVIR alerts. Go to Settings > Notifications (under Profile Settings) and turn on DVIR (defect or unsafe). You'll get an email when a driver submits a DVIR with defects (any failed item) or with a final status of Unsafe.
