Track DOT inspections, import reports with AI, and auto-create citations

View DOT Inspections

Go to Safety > Dot Inspections. The main screen shows all DOT inspections in a table:

  • Record # – unique inspection identifier
  • Driver – name of the driver inspected
  • Vehicle – vehicle number
  • Trailer – trailer number (if applicable)
  • Date – inspection date
  • Level – inspection level (I, II, III, etc.)
  • Report – report number
  • State – state where the inspection happened
  • Source – how the inspection was added
  • DataQ – whether a DataQ has been filed for the inspection
  • Status – current status (New, Open, Closed, or Urgent)

Use the Search bar to find specific inspections, Filters for advanced filtering, and Columns to choose which fields are shown.

Columns look wrong? If the list only shows a few columns, such as DataQ, Status, and Source, open Columns and click Reset to bring back the default columns, then refresh the page. To keep your own layout, save it as a Saved View.

Import an inspection with AI

Upload the inspection report and let AI fill in the details for you.

  1. Go to Safety > Dot Inspections and click Import with AI.
  2. Drop in or browse for the inspection report.
  3. Click Save. AI reads the report, creates the inspection, and pulls out the violations.
  4. Open the new inspection to check the details.

Citations are created for you: When an imported inspection includes tickets, a citation is created automatically under Safety > Citations, with a description like "Auto-created from DOT inspection #1".

Add a DOT inspection manually

  1. Click + Add Inspection in the top-right corner.
  2. Enter the inspection details: Record # (auto-generated), Status, Date, Start and End time, Driver, Vehicle, Trailer, Level, Report #, State, and a Description of violations found or corrective actions needed.
  3. Click Save to return to the list, or Save & Open to keep editing.

Manage DOT inspections

  • Click any Record # to view or edit the inspection.
  • Sort by any column, or filter by status to find open inspections.
  • The Status column is highlighted yellow for New inspections.
  • Delete an inspection: open it, click the ⋮ menu in the top-right corner, and choose Delete.

Auto-extract from File Drop

You can also have AI extract DOT inspections that drivers send in through File Drop. Go to Settings > Other Settings and, under Workflow, turn on Auto-extract DOT Inspection. If the extraction is incomplete, you can still enter or edit the information manually.
