View, filter, and add documents manually or with AI

View and manage all documents

  1. Go to Documents > All. You can also open Vehicle, Trailer, Driver, Company, or Tag Doc to see only those documents.
  2. Use the tabs to switch between Active, Review (documents drivers submitted), and Archived documents.
  3. Select one or more documents to make bulk updates from the ⋯ menu, such as Download or changing the Doc Type, Description, or Expiry Date.
  4. Use Filters and Columns to find documents and choose which information to show. Use the Driver and Dot Mode switches in each row to control what drivers see.

Source column

The Source column shows how a document was added. You'll see it on the Documents pages and on the File Drop page.

  • Driver icon – a driver added it from the driver app. The color shows its review status:

    • Yellow – in review, waiting for you to approve it.
    • Green – accepted.
    • Red – rejected.
  • Bot icon – added or read by AI, for example through AI Upload, Bulk AI Upload, or File Drop.

Add a document

Click Add Document in the top-right corner and choose how to add it:

Manual Upload

  1. Choose the Name / Unit # / Company the document belongs to.
  2. Set the Date (defaults to today) and the Expiry Date if the document expires.
  3. Choose the Doc Type and add a Description.
  4. Turn the Driver and Dot Mode switches on or off. See Driver and DOT Mode Visibility.
  5. Drop in or browse for the file, and click Save.

How Dashboard Expiration Notifications Work

If multiple documents of the same Document Type exist for the same unit, only the document with the latest expiration date is considered for dashboard notifications. Additionally, if a document of the same type exists without an expiration date, it will not appear on the dashboard because there is no expiration to track. Archive outdated or superseded document copies instead of keeping multiple active versions. Also, avoid removing the expiration date from documents that are intended to expire, as this will prevent them from appearing in dashboard expiration reminders.
