Samsara Integration

Connect Samsara, keep drivers and units in sync, and fix common sync problems

Getting Started

  • Your Company ID must match your Samsara Fleet ID. Contact support to change it if necessary.
  • Contact support to set a default password for all drivers if desired.
  • Turn on Lock Vehicle or Lock Trailer in Settings > Driver App if drivers should only see their own units.

Activation Steps

  1. Go to Settings > Integrations and choose Samsara.
  2. Press Activate, then click Allow on the Samsara page.
  3. Select Vehicles, Trailers, and Drivers, click Sync Data, then close the integration.

Sync Details

  • The Samsara integration syncs and updates drivers, vehicles, and trailers every 15 minutes.
  • It also assigns and updates each driver's default vehicle and trailer.
  • Samsara is the source of truth: changes you make there (names, status, assignments) are copied into DPB.

Troubleshooting

A vehicle, trailer, or driver is missing in DPB

  1. Check the Inactive tab in DPB. The unit or driver may have been deactivated.
  2. Make sure it's active in Samsara.
  3. Wait up to 15 minutes for the next sync, or go to Settings > Integrations > Samsara and click Sync Data.
  4. Still missing? Contact support with the unit # or driver name.

Documents show up on the wrong truck

This happens when an ELD box is moved to another truck without deactivating the old unit in Samsara first. Samsara keeps the same vehicle record for that ELD box and overwrites it with the new truck's data. DPB copies that change, so the old truck's documents now appear under the new truck.

To move an ELD box to another truck, do it in this order in Samsara:

  1. Deactivate the old unit.
  2. Move the ELD box to the new truck.
  3. Activate the new unit.

If documents have already moved to the wrong truck, contact support@digitalpermitbook.com with both unit numbers and we'll help sort it out.

Duplicate drivers after hiring from Recruiting

When you hire a lead with ⋯ > Hire Applicant, DPB creates the driver and copies the lead's documents. If you then also add the driver in Samsara, the next sync adds them again, and if the usernames don't match you get a duplicate. To avoid this, use the same username in DPB and Samsara, or ask support@digitalpermitbook.com to turn off driver sync from Samsara so drivers are only added in DPB. This applies to any ELD integration, not just Samsara.

Units you don't recognize appeared

They came from your Samsara account. Deactivate or remove them in Samsara, and DPB will follow on the next sync.

Samsara Tile Setup

Add a tile to the Samsara Driver app so drivers can open DPB in one tap. In DPB, Settings > Integrations > Samsara > Tile URL shows these steps and a link you can copy.

  1. In Samsara, go to Settings > Driver App > Features.
  2. Add a Tile named Permit Book.
  3. For the link, choose one of the options below. Replace compid and password with your own values.
