Set up document types, required documents, notifications, and auto-archiving

Add and Manage Document Types

  1. Go to Settings > Doc Types.
  2. Click + Add Type to add a new type, or the pencil icon to edit an existing one. Add as many doc types as needed.
  3. Fill in the fields below and click Save.

Doc Type Fields

  • Type – Name of the type, e.g., CDL, Medical Card, Vehicle Registration.
  • Model – Driver, Vehicle, Trailer, or Company.
  • Required – Yes/No. Required types show up as missing on the Dashboard (Missing Docs and Live View) and in the Missing Documents report when a driver or unit doesn't have one.
  • DQ – Yes/No. Marks the type as part of a driver's qualification (DQ) file.
  • Tags (if applicable) – Link the type to specific tags.
  • Notify Admin – Yes/No. Includes this type in admin expiry reports.
  • Notify Driver – Yes/No. Sends drivers a push notification before this type expires.
  • Auto Archive (On Expiry) – Yes/No. Automatically archives documents of this type when they expire.
  • Auto Archive (On Update) – Yes/No. Automatically archives the older document when a new document of the same type is added.

Notes

  • To track company-wide documents such as IFTA or permits, create a type with Model set to Company. Always add a Description to company documents.
  • Driver, Vehicle, and Trailer documents are set to Default if no type is chosen.
  • To require a Doc Type on every document, turn on Doc Type Required in Settings > Other Settings.
